... About the Role – Executive Office Manager – Corporate
We have a permanent position available for an Executive Office Manager.
The Executive Office Manager provides comprehensive administrative support to the executive team and ensures the smooth operation of the executive office. This role involves managing executive schedules, coordinating high-level meetings and events, handling confidential information, and overseeing office operations. The Executive Office Manager acts as a key liaison between the executive team and internal or external stakeholders, ensuring efficiency and professionalism in all interactions.
Position details
- Monday to Friday, 8.30am – 5.00pm. Please note on occasions you may be required to work outside of these hours, depending on the needs of the organisation.
- Starting from $80k (depending of qualifications and experience)
Key Responsibilities:
Executive and Office Support:
- Manage the executive team’s schedules, meetings, travel, and handle correspondence.
- Oversee daily office operations, supplies, and vendor relations.
- Prepare materials for meetings, including agendas and reports.
- Organize and manage high-level meetings, conferences, and events, including logistics and resources.
- Handle sensitive information discreetly and ensure compliance with policies and legal requirements.
Communication and Document Management:
- Serve as the main contact between the executive team and stakeholders, facilitating communication and coordination.
- Manage executive correspondence, reports, and maintain accurate records.
- Assist with special projects, track progress, and provide administrative support to the executive team.
- Support onboarding and team-building activities.
We are seeking a Executive Office Manager who -
- Demonstrates a whānau-first, tikanga-based, wellbeing approach.
- Holds a Bachelor's degree in Business Administration, Office Management, or a related field, or has 5+ years of relevant experience.
- Possesses excellent written and verbal communication skills.
- Exhibits strong organizational and multitasking abilities to manage multiple priorities.
- Proficient in Microsoft Office Suite and office management software.
- Capable of handling confidential information with discretion and professionalism; also has evidence of full COVID-19 vaccination, a valid driver’s license, and proof of the right to work in New Zealand (minimum one year).
